Staff Assistant
Current•Coordinate with upper management on special projects.•Serve as a point-of-contact with upper management, administrative, budget, and property management staff.•Disseminate guidance to staff on Federal guidelines and procedures.•Develop, maintain, and update spreadsheets for personnel, budget, and travel actions.•Research and recommend new administrative procedures. •Prepare reports to include monthly expenditures, forecasts, and staffing allocations. •Prepare a variety of personnel actions; monitor status to ensure that deadlines are met. •Coordinate the preparation of a variety of items such as travel requests, training requests, individual/mass mailings, correspondence, reports and various forms; maintain copies of all travel orders and vouchers in the established office file. •Prepare inventory and purchase requests; assists with property management by serving as a property custodian for assigned areas. •Prepare supply orders via POTS with government approval and ensure proper delivery and receiving of items.•Gather and analyze information about processes and programs; prepare reports, letters, and other documents for review and input for programs, policies, and activities.•Develop, maintain and utilize various administrative databases.•Maintain contacts database; update/maintain calendars and shared calendars for multiple staff members.•Coordinate meetings, schedule conference rooms.•Maintain office records including office procurements and reimbursement procedures.•Provide support with timekeeping duties.•Maintain case file systems for correspondence and projects.•Arrange for staff member to represent organization at conferences and meetings, establish appointment priorities.•Compose correspondence for technical matters within the program.•Orient new personnel to the Center.
