Sub-Saharan Africa

Duties and Responsibilities• End to End Order processing for East Africa and Indian Ocean Islands and ensure orders are raised on the latest material code to ensure smooth operations.• Import – Export document and forms preparation to ensure seamless clearance process.• Review paperwork and documents to ensure shipping, handling and customs fees are billed accurately.• Create and manage annual POs to ensure all supply invoices are backed with a PO.• Process all delivery claims from customers.• Engage shipping lines and freight forwarders to ensure on time collection and delivery of customer orders.• Resolve and queries from customs and other government agencies as regards to imported and export goods.• Create and maintain order pads with latest SKUs.• Communicate with customers on their order status: Open orders, Shipped orders with clear date of arrival.• Inform customers on any global supply chain challenges and mitigation steps and guide them on their ordering pattern in response to the challenges.Key Achievements & Highlights• Elimination of demurrage costs in Kenya and for distributors in East Africa• Reduction of import clearing costs by 50%• Build strong relationship with external stakeholders and government officials which resulted in faster clearing time and improved efficiency in the supply process.• Established and export wing in a previously all imports business.• Achieved exceed expectation rating in 2023 business year.

Duties and Responsibilities• Verifying accuracy and reliability of claims from the organization’s distributors.• Receive, process and ensure all vendor invoices are accurate and paid on time by getting all necessary approvals before and after posting of the invoices on the SAP ERP system.• Carry out customer/distributor invoicing and ensure accuracy and completeness of the invoices.• Conducting monthly stock takes in the organization’s main warehouse in East Africa.• Support in all audit engagements.• Generate monthly reports on accounts payables as required by the organization’s leadership team.• Carry out vendor account reconciliation to ensure all accounts are up to date with no overdue invoices being unpaid.• Carry out customer/distributors accounts reconciliation to ensure all accounts are up to date and payments are correctly allocated to outstanding invoices on SAP.• Ensure all monthly withheld taxes (WHT and WHVAT) are declared and filed by the 20th of the next month.• Create PRs on SAP for conversion to POs by the procurement team.• Ensure that correct POs are allocated to each invoice before posting to ensure timely payment to vendors.• Create a file that upon data entry analyses all shipping costs and commissions charged per shipment to understand the areas available for cost reduction and improved efficiency. This helped in reduction of demurrage costs by 40% with some months having zero demurrage costs.• Liaising between the organization and external partners by ensuring relevant and accurate data is sent to them as well as ensuring any challenges they face in this regard is effectively resolved by our respective teams.Key Achievements & Highlights• 100% on time invoice payment • demurrage cost fell by 40%• Elimination of KRA late payment penalties
