Administrative Assistant, Safety Dept
CurrentPerform Administrative support for the Safety dept, process documents and correspondence, order supplies, reconcile payment, and use computer and office equipment. Issue Personal Protection Equipment (PPE) and track when replacements are needed. Enroll workers into safety classes and research classes offered in different areas of the US. Manage and maintain safety training certifications and logs. Create Safety Awards and Certs. Modify and brand necessary Safety forms. Assist in preparing required Federal Government Safety documents such as company Resumes, Accident Prevention Plans (APPs) / Design and Investigation APPs, and Safety Management System (SMS) binders for each construction project. Process monthly safety reports (Vital Factors). Review and process invoices and expense reports.• Report to Senior VP of Safety and the Safety Director• Administrator of an educational safety website (ClickSafety) for 156 workers. Enroll employees, maintain their accounts and classes offered, and run reports. • Record educational and safety certificates in records and logs for 156 workers. Create and organize Certification Compilations and Charts and track everyone’s training hours.• Create, format, and modify field worker’s company Resumes for governmental submittals.• Purchase safety items such as PPE and safety start-up items for each job site. Track the supplies for Accounting and reconcile and apply accounting codes to invoices. • Continuously pursuing cost reduction efforts. • Process an average of 22 job site safety Vital Factors monthly. Collect reports, enter the data and generate pivot tables and charts.• Prepare an average of 8 APPs per year. Assist the project owners with reviewing, editing, inserting documents and signatures, bookmarking the manuscripts, and printing and creating binders and CDs.• Print and assemble an average of 8 job site SMS binders per year. There are 7 SMS binders per job site with safety forms that I maintain, edit, and brand.
