Roles and Responsibilities:➢ Processing of invoices of LAC (Latin American Countries) & EMEA (Europe Countries) geographies on a daily basis.➢ Suspense and Hold Reports: Email the supplier/In-country Finance to clear the suspense account before month end close and maintain minimal balance on suspense account.➢ Auditing of invoices which is more than 100k.➢ Perform Quality Checks.➢ Assisting internal auditing.

 Assisting Accounts Payable team as Subject Matter Expert and handling the payment uploads on HSBC Net. Handling Accounts Receivable Process – Customer creation, Invoice Raising for the transaction tickets raised, Tracking Defects on the invoice tracker and take necessary actions, Payment reconciliations and receipting in the system. Following up on the payments from the customers. Publishing necessary reports.  Execution of monthly Statutory Payments as per the Government regulations i.e. TDS Payments, GST (basis the guidelines of Tax Compliance Manager), Professional Tax and Provident Fund. Liaising with HSBC Client Relationship Team on all payment related queries and timely process of other Banking activities. Monthly payroll payments along with Full and Final settlements. Also, employee Salary Advances. Employee Reimbursements/Claims payments, Processing Travel and Expenses as per the company standards. Performing Vendor Payments on HSBC Net and raising Demand Drafts for Electricity Bills for the different locations to be paid to the Electricity boards. Supporting Auditors during company’s Internal and Statutory Audits by preparing schedules and clarifying their queries with the right documents related to our process. To ensure and maintain zero escalations while making payments to the vendors. Ensure to follow SLA’s and be proactive. Responsible to train on the process to new joiners along with ERP system (Oracle R12). Responsible to cross verify the Proof of Delivery prior to payment to the Transport vendors and documentation of customs bills for auditing.

 Working closely with client on reviewing the end to end process steps and identifying the gaps. Auditing Travel and Expense Reports of Client’s Employees submitted through ERP Portals and approve for payment.  To be proactive in resolving offshore/client queries. Managing day to day reports which is important for the client deliverables. Organize work load and ensure timely processing of invoices to meet SLA. Ensure all vendor payment related queries are responded within 24 hr cycle time. Act as a backup to the AP Lead manager on their absence. Initiating daily/weekly team meetings to discuss the process updates and other concerns.

 Handling all Cisco queries by direct contact and working as first level of contact for all issues and problems from Cisco. Working on Aging Report: This includes working on past due invoices, invoices waiting for additional information, PO overspent invoices & invoices waiting for delivery. Working on Debit Balance Report: Directly contacting the supplier for refund or unprocessed invoices to clear the supplier from debit report via emails/phone.  Suspense and Hold Reports: Contacting the supplier/In-country Finance to clear the suspense account before month end close and maintain minimal balance on suspense account. Prepayment report: Contacting the supplier/In-country finance for tax invoice against the Proforma invoices (Advance Payment) which have crossed more than 60 days and maintaining minimal balance on prepaid invoices report.  Works on Purchase Order merge i.e. if in case supplier changes their name.  Assisting AP manager and mentoring Back office processors with day to day activities. Training new member of the team on the process. First level of contact for any queries from EMEA region. Perform Quality Checks and update Error tracker. Track all emergency invoices for processing and inform payments upon completion. Auditing of invoices which is more than 100k. Processing of invoices of various geographies on a daily basis. Assisting Internal auditing.
