Out Of Time, Out Of Centre And Distance Examinations Coordinator
In this role I was responsible for students who need alternative examination arrangements. I advised students on their options within the regulations, assisted with making applications, analysed and summarised applications for consideration and recommended an outcome based on the criteria and the individual application, coordinated with internal staff and external examination venues to organise the final examination and monitored that those exams were conducted within regulation. This was a varied role which required that I am a subject matter expert with knowledge of a range of processes and options outside my expertise as well. I deal with people from all areas of the University from advising students on their options, assisting academics regarding the regulations, to making recommendations for members of the University's senior management team on individual applications and policy. I was responsible for all records and reports relating to this area and I developed and maintained the databases and systems which keep this area functioning which required a high level of technical understanding and expertise. I also maintained the department's official forms, internal and external web-pages and other communications as needed. This role required great communication and people skills as well as the ability to manage my time and multitask under pressure.
Process Analyst And Case Manager: Postgraduate Recruitment And Marketing Project
Secondment: This was a highly successful short term project to analyse and implement a range of strategic, process and systems improvements across the inquiry, admission, matriculation and enrolment processes for potential postgraduate students at The University of Auckland. I was responsible for mapping and identifying improvements in all of these processes across several central service divisions and nine academic departments. As well as process work I worked closely with five departments as a case manager developing key relationships and offering support throughout the process as well as conducting and participating in a range of qualitative interviews and workshops to understand and potentially improve their systems and procedures. To complement the support function, qualitative interviewing and process mapping work I analysed a range of existent data and statistics and also organised and analysed two quantitative exercises, including developing a small survey to obtain some of the data. As part of the final output of the project I wrote five of the nine final departmental reports and large sections of the overall report as well as preparing a range of presentations for various stakeholder groups. The project was well received and widely held to be a success both statistically and qualitatively.
Clerical Officer – External Examinations And Supervisor Allocation
In this role I was responsible for the coordination and organisation of external examinations from other institutions sat at The University of Auckland. I also assisted with the employment, deployment and payment of the University's several hundred casually employed Examination Invigilators and to a lesser extent with other key areas such as exam timetabling and results processing. This role also involved maintaining a large network of external and internal relationships, advising on policies and maintaining high standards particularly in relation to other institutions' regulations. The invigilators come from many cultures and all walks of life which required a great deal of sensitivity and adaptability. This role also required a great deal of attention to detail especially when working with contracts, pay or timetable details and a strong understanding of the nuances of the tertiary sector including many international tertiary systems.
