Executive Assistant – Organisation Support (For Executive Directors And Chief Executive)
Current• Ensuring the Executive Team are supported with diary management; travel bookings; time management; the co-ordination of external and internal team events; and the effective management of their teams.• Ensuring the Leadership Team is assisted with the management and administration of cross-cutting corporate activities, such as performance reviews, major events, projects and programme co-ordination.• Ensuring Executive Directors and Chief Executive are assisted with managing key administrative tasks and business processes.• Assisting Executive Director, People with inbox management.• Managing weekly Executive Leadership Team meetings, including agenda forward planning, electronic filing, minute and action tracking, room bookings, guest liaison and paper circulation. • Being a champion for improving administration processes across Scope.• Providing support for the Governance team.• Supporting the delivery of Scope’s communication strategy to ensure effective communication internally across Scope and with external stakeholders.• Exercising judgment, flexibility, tact and sensitivity with regards to managing potential diary conflicts, having due regard for business priorities.• Managing relationships with key internal and external stakeholders with a high degree of professionalism and care, taking the initiative to ensure meetings are scheduled in a timely way and that there is ongoing communication and good follow-up to meetings.• Drafting correspondence, presentations and briefings communications on behalf of Executive Directors.• Supporting HR administration activities and projects (e.g. recruitment, mandatory training tracking, writing training materials, performance management administration).• Supporting financial management activities (e.g. budget tracking, ensuring Purchase Orders are processed in a timely fashion and managing Chief Executive expenses).• Mentoring colleagues and sharing best practice to aid personal development
