Job Responsibilities:• Set-up & maintain ownership records by analyzing leases, deeds, contracts, division order title opinions, joint operating agreements, pooling agreements and related documents, including estate documentation.Job Duties:• Correspond with landmen and title attorneys to obtain record title ownership for all units.• Process changes of ownership for revenue decks and joint interest billing decks.• Communicate with accounting in a timely manner regarding royalty and joint interest billing payments in order to meet their deadlines.• Interface with accounting regarding well payout status and change well ownership upon payout.• Research and resolve revenue discrepancies.• Respond to inquiries regarding ownership from royalty owners, working interest owners and other companies.• Mentor land techs, training them on how to answer all kinds of inquiries.• Prepare and distribute Division Orders and Transfer Orders on operated properties.• Handle Division Orders for company net interests for outside operated wells. • Maintain accurate name and address data for lessors and payees.• Search for current addresses in InfoAge Search for returned checks and 1099s and send letters for confirmation in an attempt to prevent funds from being escheated.• Identify and research owners in suspense, resolving issues in order to get the owners back in a pay status or funds transferred to the proper owner.• Manage Escheat process to ensure state compliance.• Perform due diligence and reporting as mandated by each state.• Assist with research, special projects and other duties as required.

Gathered all documentation necessary from landman to set up new LA wells. Created and maintained assigned LA divisions of interest in a timely fashion. Effectively communicated with appropriate team members to gather documentation to respond to all demand letters within 30 days as dictated by LA law. Responded to royalty owner inquiries within 5 days of receipt. Effectively communicated with other departments to ensure that mistakes were not made due to lack of communication and resolved owner issues and prior period adjustments. Handled Escheat process for business unit performing due diligence for 14 states and prepared and submitted reports to all states for four years. Developed and maintained relationships with state personnel. For last four years, coordinated and performed due diligence for TX and LA addresses and assisted personnel in Denver to ensure state compliance. Continuously took initiative to improve processes and simplify tasks for self and shared with others thereby saving a large amount of time, effort and money. Volunteered to take on responsibilities previously handled by others in order to streamline processes.In addition to regular duties, handled all business unit address changes, 1099 address changes and returned checks in an attempt to streamline the Escheat process which in a large part stems from insufficient address issues. The goal is to obtain current addresses on the front end thereby reduce the number of owners needing research during due diligence time and to reduce duplicate checks going out to an owner who was determined to be deceased or had transferred their interest to someone else.Assisted in the implementation of the InfoAge database for use in locating current addresses for business unit owners and next of kin, thereby reducing the number of owners needing due diligence research for the annual Escheat process. During the process, pay codes for revenue decks and suspense funds were corrected accordingly.
