• Maintaining BOQ updates of all projects and identifying all requirements in the BOQ (PC /PS and client supplied) requirements for issuing nominations and purchase orders.• Receiving price quotations. (competitive bids) and preparation of a comparison plan.• Negotiating prices, best payment terms and contract terms while maintaining a high level of integrity.• Establishing delivery terms, delivery times and inspection stages for delivery with the project management team and issuing a nomination letter or purchase order.• Sourcing materials, labor, subcontractors, and various other required materials and negotiating favorable terms with suppliers to meet the company's needs, switching to substitute materials when there is an abrupt change in prices for items.• Creating GRN in the system for the materials received / work completed.• Managing annual maintenance contracts (AMC) and contracted security services and act as on-site manager.• Follow up with finance department for timely release of payments and update payment schedule and respond to audit queries.• Conducting regular KPI of potential suppliers.• Registering, monitoring, and closing maintenance requests and maintaining the database.• Maintaining the PPM schedule and coordinating with the facilities team and vendors to ensure the PPM schedule is met specifically for HVAC and plumbing.• Retention of all FM contracts and approved bids.• Preparation of estimates, schedules and plans for operations and maintenance projects.• Overseeing all activities related to the occupancy, relocation, and renovation of designated facilities.• Execute all interior and exterior building maintenance and improvement projects from planning to completion while managing schedules and budgets.
