I am the single point of contact for landlords and tenants. This personal attention, continuity of client care and accountability is a key component of client satisfaction.I regularly perform a portfolio check on a range of measures including rental arrears and their value, invoice arrears, time to lease properties, total number of days properties were vacant, new business listed and let, time to process rental applications and more.This data is shared with the entire team, so we are aware of everyone’s workload. In addition to the measures above I am also responsible for lease renewals, maintenance and in-going, final and annual routine inspections among other things. My goal is always 0% arrears and I typically achieve this – in fact, I have only attended one Tribunal hearing in the past nine years. I attribute this success with the time I spend with tenants at the start of the tenancy, to listen to their needs, outline my expectations and support them throughout the tenancy.Inspection Manager, Routine Inspection DepartmentThis department consists of four Inspection Officers who conduct routine inspections for the entire rent-roll of 1700 properties. This means coordinating and managing approximately 5000 routines each year, which includes:• distributing entry notices for tenants, • managing the geographical zones for efficiency, • implementing procedures, and • ensuring that strict time-frames are met in relation to notice of entry requirements, requests for specific inspection times and special access requirements.I am the one point of contact for the routines inspections and the liaison between Inspectors and Property Managers.Managing these relationships effectively is essential to success in this role.
