Executive Assistant To Director (H.E.A.P)
● Provide critical administrative support to the Director of H.E.A.P. ● Support Director with complex day-to-day schedule, travel priorities, itinerary and meeting arrangements. ● Conduct research and collect data on potential vendors/companies.● Compile and generate spreadsheets capturing key data related to H.E.A.P’s active contracts. ● Create advanced word processing using Microsoft Word.● Create pivot tables and modify spreadsheets to achieve analytical goals. ● Input confidential information for monthly/yearly data into various spreadsheets. ● Collect, organize and prepare periodic status reports.● Conduct interviews and orientation for temporary employees. ● Maintain employee personnel files and time records. ● Schedule and input employees into the training system for mandatory New York State training. ● Formatted and designed training materials for print, document reproduction, and presentations. ● Conducted surveys/evaluations after scheduled trainings. ● Participate in the performance management process. (i.e. year-end reviews, feedback, and goal setting)● Complete Temporary Staff Request Forms, termination forms and prepare new hire packet forms.● Enroll City/Temporary workers into the DCD hand scanner to register in/out time. ● Manage ID cards for entrance into the building and the office. ● Liaison between the H.E.A.P staff and the various Temporary Agencies. ● Assisting on other projects and tasks as assigned.
