Job Responsibilities:  TAKING CARE OF IMPORT SHIPMENTS – B/L, DELIVERY ORDER COLLECTION:Managing the process of import shipments, including collecting the Bill of Lading (B/L) and Delivery Order.NEGOTIATING WITH APPROVED OR POTENTIAL NEW SUPPLIERS ON ALL PRODUCTION MATERIALS:Engaging in negotiations with suppliers to establish favourable terms and conditions for the procurement of production materials.IDENTIFYING NEW COST-EFFECTIVE SUPPLIERS AND TRANSPORTS:Actively searching for new suppliers and transportation options that offer cost savings without compromising quality.REPORTING MONTHLY STOCK REPORT TO THE GENERAL MANAGER:Compiling and presenting monthly stock reports to the General Manager, providing an overview of the current stock status.MONTHLY STOCK RECONCILIATION WITH WAREHOUSE TEAM STOCK AND SAP STOCK:Conducting monthly stock reconciliations to ensure the accuracy of stock records, comparing physical stock with the stock recorded in the warehouse and SAP system.DOCUMENTATION OF INVOICE (INBOUND AND OUTBOUND LOGISTICS):Managing the documentation process for inbound and outbound logistics, including preparing and maintaining invoices.SENDING PENDING OUTBOUND REPORTS TO ALL LINE MANAGERS:Communicating pending outbound shipments and providing reports to relevant line managers for their awareness and action.MAINTAINING INVENTORY ACCURACY ON A WEEKLY BASIS:Regularly monitoring and verifying inventory levels to ensure accuracy and avoid discrepancies.PROVIDING SHIPPING INSTRUCTIONS BEFORE THE CUT-OFF DATE:Collaborating with the shipping department to provide clear and timely instructions for shipping activities before the designated cut-off date.PREPARING GOODS RECEIPT NOTE (GRN) FOR IMPORT SHIPMENT:Creating the Goods Receipt Note (GRN) for imported shipments, ensuring that the correct items are entered in the SAP system for future reference and tracking.

Analyze the purchase request from requestor and determine the appropriate method of procurement. Provide assistance to requestor / user department as and when required.  Responsible to follow-up with the suppliers, supplier’s performance evaluation and new supplier’s evaluation as and when required.  Responsible for the identification of new cost effective suppliers and transports.  Evaluation of approved suppliers / subcontractors as & when required.  Making sure that the Enterprise Resource Planning (ERP) Software is being used properly with strict compliance to the company policies and procedures.  Maintain proper documentation as per the requirement of Quality Management System.

Responsible to enquire with the suppliers to get the quality materials with competitive prices, payment terms and timely deliveries as per the project plan and approved SOP’s. Arrange and seek new sources / products with better commercial terms and technical performance.  Responsible in arranging samples, mock ups, submittals (commercial and technical) for approvals and upon completion the project specific warranties.Evaluation of approved suppliers / subcontractors.  Occasionally discuss with Purchase Manager / Senior Purchaser when an opportunity of improving the accuracy of procedure/process is observed
