Current• Planning, scheduling, organizing, facilitating, and recording Community, Special, and Board meetings and events of the Association within the parameters of the governing documents, jurisdictional requirements, and Management Company standards. • Staying up to date of all applicable Governmental (federal, state, city) regulations pertaining to common interest communities and industry best practices.• Provide professional guidance to the Board of Directors regarding their fiduciary responsibility. • Monitor and advise on matters of General Common Area Maintenance issues including Resident Safety (life safety, security, tripping hazards, etc.), procurement of required services, review of vendors’ work, and proper administration of invoicing and coding.• Develop annual budgets with fiscal requirements dictated by the governing documents for Board of Director approval. Manage budget and related financial matters including, monthly financial statement, cash flow, budget variances. Anticipate, recommend and manage capital improvement and replacement projects board and in alignment with Capital Reserve Study and schedule Assist with the acquisition, development and monitoring of the Association’s Reserve Studies and updates.• Manage the required facilities and building certifications and inspections such as, pools, elevators, boilers, and fire protection systems.• Ensure proper documentation of contracts, invoices and other expenses to ensure timely payment of bills, production of monthly financial statements and year-end external audits.• Prepare requests for proposal for vender contracts, construction projects, work orders, maintenance agreements. Negotiate contracts from qualified bidders and assist the Board of Directors in qualifying and selecting contractors.
