Qi Wealth is a boutique Wealth Management firm. I was the sole administrator across 25 people in three time zones. This role included elements of Office Management, Receptionist and general administration tasks. Responsibilities General Administration: • Administrative support for the two partners of the firm, • Extensive diary manamgne across three time zones,• Manage meeting room bookings,• Manage multiple email accounts,• Events management including sourcing venues & catering, preparing the agenda, and preparing presentations,• Managing travel arrangements including preparing detailed itineraries,• Recording and updating information on the CRM (Salesforce), • Collating and filing expenses into the accounting system (Xero), • Filing into the Document Management system, • Created, maintained and track client information including depreciation reports and income statements, • Worked with both accounts receivable and accounts payable,• Process and distribute the mail daily,• Prepare documents and presentations using Microsoft Word and PowerPoint. E.g. Statement of advice, Company annual reports, • Interactions with financial institutions including banks and Australian Tax Office (ATO), requesting relevant information.Responsibilities as Office Manager: • Set up new starters with all relevant technology, as well as conducting company inductions,• Managing stationery levels and ordering new supplies,• Self-managed, I needed to priorities my work to meet the needs of a range of stakeholders and meet tight deadlines,• Implemented new telephony system,• Managed renovation of the office and co-ordinated with the building manager. Responsibilities as Receptionist• Greet clients and assist in general queries,• Answer, screen and direct calls, ensuring that messages were relayed to the correct person or department,• Ensure all meeting rooms are ready for both internal and external meeting.
