Executive Assistant
CurrentCoordinate with multiple departments to manage and organize meetings, conferences, and teleconferences. Assist CEO/Owner within a variety of office tasks and secretarial duties, resolving routine inquiries, scheduling calendar items, making travel arrangements, performing data entry, establishing and maintaining records. Editing and proofreading documents to ensure accuracy. Serving as the primary point of contact for office, project sites, managers and directors on day-to-day operational and administrative issues. Attend and record meeting minutes. Preparation of vendor lien releases to accelerate the collection of funds. Maintain a vendor database and vendor insurances and all company requirements. Implement, maintain, process and update files which include insurance policies, certificates, and licenses. Coordinate and assist the accounts payable department with preparing checks, account statements, job cost reports, budgets and reviewing for accuracy, reconciling any report discrepancies.Welcomes guests and customers by greeting them, in person or on the telephone; answering and directing inquiries. Prepare conference room with all the supplies and beverages for all meetings. Purchase office supplies. Review and approve any overhead billings. Operate and manage company marketing, website, IT, internet, intranet, and social media. Work with and maintain software packages such as operating systems, networking components, and office applications. Assist and support for incoming team queries and issues related to computer systems, software, and hardware. Creation of PowerPoint presentations to be used by the executives. Set up new employees with hardware, network accesses, and configurations.
