I am Proficient in the use of HealthRoster at its highest operational levels in my responsibility as the HealthRoster Administrator which is to ensure that the rostering and scheduling system is working efficiently and accurately in consultation with eHealth and to liaise with eHealth in relation to system problems encountered and document work arounds accordingly. I take full responsibility for my position as the HealthRoster Administrator with minimal supervision from my Manager. Tasks include Updating and building roster templates ensuring Managers are aware of the process and understands the functionality. Demand Template are created by the HealthRoster Administrator with the assistance from managers - Data collection activities include profiling, shift types, shift times, unit setup, organisational structure and people data. It’s my responsibility to develop the roster template in line with FTE, Budget allocated and agreed skill requirements with approved staffing profiles - Roster Templates must be responsive to known workload variations, service provisions, seasonal fluctuations and special events. Manager are informed when building the demand to incorporate leave planning when developing roster templates e.g. number of staff on leave at one time - Ensure locally developed rostering rules are incorporated into the roster template - Determine the number, classification and skills of staff required per shift. I also Analyse roster and quality check data and reports to identify errors and incorrect rostering. The week prior to the pay file being sent to Healthshare for processing it is my responsibility ensuring that the integrity of the data within HealthRoster is checked and sent with NIL rejection. This process is done by running varies reports through HealthRoster which is then interface through the REP Quality Check Data Base ensuring consistency and making sure all errors are emailed to the Managers asking that these errors be corrected. This process is constant and ongoing ensuring NIL errors and the integrity of the pay file prior to it be emailed to HeathShare and ensuring no errors. Emails are also sent regularly as reminders to managers to Publish Rosters 4 weeks prior to the commencement of a new roster period as per the award. On Monday sign off managers are reminded to finalise rosters and list of un-finalised shifts are emailed to all HealthRoster Users making sure managers are aware as per Rostering best practices and JHFMH hierarchy that it’s the managers responsibility to make sure all shifts have been finalised.
