Pensions Administration QROPS, Trust and Corporate

Supporting the Pensions Administration Director (PAD) in managing and overseeing the pension admin function in Malta, including all aspects of operational control and systems, legislative matters and client relationships and dealing with other international officesDuties:Establish initial administration procedure and maintain office administration in conjunction with the PAD.Liaising with clients and their advisers in respect of service issues via various interfaces.Execution of client transactionsDealing with ad hoc requestsProvision of various reports to DirectorsMaintain client data within a primary management information systemPreparation of correspondence with clients and their advisorsEnsuring that statutory record are accurate and full audit trail maintainedLiaise with intermediary, client and transferring trustees/investment managers whilst transfer proceeding.Provide regular valuations to clientsPreparation of payment instructions, and monitoring execution of instructionsPreparation of minutes, and ancillary documentPension specific compliance, regulatory and Data Protection issuesEnsure that service level agreements with IFA’s/members are metManagement/leadership of staff in two offices and dealing with the necessary HR requirements

• Act as company secretary for a number of entities• Coordinate corporate and trust transactions and prepare board, trustee and shareholder resolutions• Establishing and administering trusts as well as incorporate and redomicilation of companies• Liaising with high net worth clients and professionals in the same industry• Managing trust and company assets and adhering to strict compliance, legal and regulatory rules• Attending board meetings and AGMs and preparation of board and AGM minutes • Compiling of statistical reporting• Coordinating and management of on-going projects.• Preparation of annual trust and company reviews, structures and asset management, prepare and maintain share registers and share certificates• Liaise with clients, service providers, authorities and staff in various jurisdictions including banking and other financial institutions
