CurrentOffice Management / Office Administration•Handles all domestic and international travel reservations including trade show shipping logistics. Monitors travel budget to proactively identify and correct overages. •Oversees meeting and event planning, sets up and trains staff on use of web-based conferences across multiple sites. •Plans office relocations and facilitates logistics behind closure of West coast office, including asset recovery, budgeting and vendor sourcing. •Coordinates new office setups including staffing, capital equipment, IT and telecommunications.Accounting/Billing Support•Audits FedEx invoices against actual expenses; provides proof of errors and receives refunds. •Reviews WebEx invoices to determine usage patterns from specific executives/departments. •Closely monitors corporate credit card usage to identify and investigate questionable charges. •Primary responsibility for depositing checks, monitors bank statements frequently. •Proactively sources and negotiates cost effective options for supplies, facility maintenance utilizing a cost/benefit strategy. •Oversees all expense tracking and reporting for senior management.
