• Develop process & procedure for information/document management system.
• Coordinate with Project stakeholders (Client, Design Consultant, Project Manager, Supervision Consultant & Contractors to set-up documents flow, standards, procedure and process to meet the project requirements and.
• Cooperate with project departments to make sure Document Distribution Matrix (DDM) is set up correctly to meet the project needs.
• Monitor & ensure that standard document management system is being followed and maintained to meet the project success.
• Train project stakeholders about the process and procedure of project document management system, numbering /codification system and Document distribution matrix.
• Manage controlled copy of documents in auditable standard for periodical audit.

• Study the type & scale of the project to prepare necessary procedures, process & forms required for document control department.
• Documents classification sorting, filling, archiving and retrieval of documents in a standard indexing and filing system.
• Defining of proper and unique document number for multi type of construction and technical documents,
• Ensure implementation of document numbering system for documents being generated from various dept. of HSH as well as provide appropriate number for incoming documents from client /contractor if there is no number.
• Provide guideline to junior document controllers, to ensure that they are storing hard copy and electronic copy of documents on designated place in accordance to document control procedure.
• Ensure unexpected use of obsolete/superseded drawings and other technical documents.

• Manage procurement related documents such as purchase order, supplier quotation, delivery notes, dispatch notes,
• Record quality inspection of materials delivered by supplier.
• Negotiate with supplier for obtaining discount on submitted quotations
• Preparation of periodical report on procurement status.
• Audit internal documents periodically to ensure compliance of quality and audit requirements.
• Maintain electronic log for all purchase orders, vendors, quotations, price lists, etc.
