-Supervise the purchase of goods and materials required by the hotel in adherence to policy and with cost reduction and profitability in mind. -Will be responsible for performing the following tasks to the highest standards-Assist the Purchasing Manager with the purchasing of all goods and equipment required by the hotel-Supervise the purchase of correct goods and materials at a competitive price and proper quantities/volumes-Assist the Purchasing Manager with regularly report on goods purchased and inventory levels so to allow for more effective future purchasing-Report all monthly savings to the hotel Team-Work with hotel management to improve the purchasing process as a way to reduce waste and improve profitability-Maintain good communication and working relationships with all hotel areas-Attend finance meetings, as required-Act in accordance with fire, health and safety regulations and follow the correct procedures when required-Serve your role and Team in an environmentally-conscience manner-Reviewing bids to ensure they meet all legal requirements, including being within budget and complying with government regulations-Reviewing contracts for accuracy and legality, especially regarding insurance coverage in case of damage or loss-Reviewing bids from suppliers to determine which company will best meet the company’s needs-Inspecting goods that have been delivered to ensure they are in good condition and that they match the specifications in the order form-Reviewing purchase orders to ensure they are accurate and complete Drafts and/or reviews supply and service specifications.-Evaluates bids, ensuring compliance with departmental and company policies and procedures.-Distributes purchasing information to involved parties including vendors, sales representatives, and employees.-Reviews and evaluates purchase request forms for accuracy and completeness.-Gathers, records, and completes purchase data.

-Preparing purchase orders-Seeking quotation -Finding new items and suppliers -Negotiations -Cost Comparison -Maintaining the inventory sheets-Receiving goods-Quality checks-Reconcile customer material billing-Maintain daily inventory reconciliations-Reconcile invoice to purchase order price variances-Process purchase requisitions and purchase orders-Track and report material back orders from vendors-Analyze data and forecast requirements with vendors-Set up, plan, and coordinate with vendors-Maintain and create detailed reports-Track and trace freight-Perform internal inventory audits-Preparing Invoices-Maintaining the billing system-Generating invoices and account statementsAlso Assisted in Accounts Department - Performing account reconciliations - Maintaining accounts receivable files and records - Producing monthly financial and management reports - Follow ups on the pending accounts - Ensuring all Balance Sheet accounts are reconciled. - Review the city ledger and credit card transfers of the day and pass the same to the Accounts Receivable - Audit the daily cash summary and update General Cashier's report. - To be responsible for month-end deadlines and schedules - To reply to the Credit Card Charge Backs and response to all credit card inquiries - To reconcile Credit Card commissions on a daily basis - Assisting Finance Manager with month end close - Knowledge on Opera, SUN 6, Jana, Infrasys and Basic Civil soft. - Prepare bank reconciliation statement, review general ledger at month end, and analyze expenses
