Manage subcontractor document compliance such as contracts, insurance and W-9s.· Verifying all insurance is up to date and have acceptable limits as defined in our contract. Communicating to project teams weekly when Subcontractors are not in compliance and are not approved to work onsite.·Notify required staff when Subcontractors are not in compliance and are working onsite without approved Insurance or contract.·Contact Subcontractors and vendors weekly about outstanding document compliance.· Processing incoming invoices and matching them to Purchase Orders or Subcontract agreements for their respective projects. Scan and enter invoices timely in Accounting system for accurate job cost reporting.Following up with Project Managers when invoices are ready for approval and need to be paid.·Tracking and ensuring vendors and subcontractors are paid within their payment terms.·Communicate payment terms and respond to payment inquiresCommunicate to project team when invoices do not match contract or purchase order.·Obtain and track Lien Waivers required from subcontractors and suppliers prior to issuing payment.·Track Subcontractor change orders/back charges to ensure proper coding is completed for job cost accuracy.·Tracking Contract Change Orders that affect billings to clients, communicate to project team when there are discrepancies.·Generate pay applications to clients for projects each month per contract terms. Review pay applications with Project Managers to ensure they are completed and sent out on time per the contract terms.·Review Purchase Orders, Subcontracts and change orders to ensure they are coded to correct project and cost codes.·Assist Project Managers with closeout documentation required by our clients. Obtaining warranty letters, Owner’s manuals and organizing into binders to submit to clients.
