Administrative Assistant
CurrentIn this role, I perform various professional and administrative functions and provide strong administrative support to the Administration Manager and Parks and Recreation Director.These functions include managing multiple competing priorities in an extremely fast-paced environment, while moving forward to achieve short and long-term strategic goals. Preparing and editing communication (e.g., memos, agendas, letters, presentations, etc.) to ensure accuracy and consistency of message and delivery is attended.Receive and handle incoming calls, and forward messages to the appropriate division/section. Provide responses, diffuse situations and determine required actions, and follow up with appropriate individuals for resolution. I maintain Director’s Office and departmental files and records, log in, track and routes incoming correspondence and documents for the Director’s signatures.Manage conference room reservations for all the conference rooms and assist with managing the Director’s schedule and events to ensure priorities and preferences are accounted for, time is allocated appropriately, and the required information is provided. I handle sensitive information and documents and maintain the confidentiality of departmental matters and issues. In the absence of the Administration Manager, serve on their behalf by assisting the department, attend meetings, participate and perform in special projects, committees, and other duties as assigned by the Administration Manager and/or Director.
