Administrative Coordinator
Current* Maintains a complex calendar of appointments, meeting and speaking engagements for the CIO that includes communication/scheduling on behalf of Executive management staff. Other state agency directors, the Governor's Office, US/State Legislators, the general public, etc. Revieves, screen, interprets and refers incoming calls and visitors to the appropriate areas. Troubleshoots incoming complaints to the CIO. Makes arrangements for all necessary in-state and out-of-state travel of CIO and others as needed. *Reviews the CIO's incoming and outgoing correspondence, assigns deadlines, coordinates responses with the appropriate Department personnel and tracks status. Ensures deadlines are met on all responses, correspondence, special projects, etc. requiring a reply by the CIO. Ensures responses are consistent and in compliance with Department policies. Prepares answers to routine correspondence on behalf of the CIO and other Executive staff as needed. Performs administrative functions for the CIO to include; logging, proofing, formatting, copying, scanning, tracking, researching and other general office functions.*Supports all administrative functions of the Executive Management team including and efficient, professional and cooperative work environment. Maintains office supplies, equipment and furniture needs for the CIO, including coordination of any necessary requisitions. *Coordinates meetings, prepared agendas for weekly and monthly meetings as well as compiling agenda items, distribution of meeting materials and serving as the recording secretary for meetings of the CIO. Performs research on various issues for the CIO. Compiles and organizes findings in draft reports. Handles issues of highly confidential nature and conducts confidential special assignments. Other duties as required.
