Receive incoming calls and e-mails for commercial business related service issues such as hvac, refrigeration and cooking equipment. Enter service request in Access computer program. Dispatch appropriate technician per skill set. Manually enter times of job on call and complete it to generate technician's invoice number in Access. Order parts using purchase orders and give technician purchase order numbers when they order parts in the field. Assist technicians with quoting repairs. Also keep weekly time sheet on technicians. Assist accounting department with job costing and invoicing of customers. Keep updated spreadsheets on freon usage, and pm scheduling.

Receive via e-mail all incoming service requests from area coaches for the 70 Jack in the Box franchises. Create work orders in Net Facilities. Dispatch technicians to job sites according to their skill set and their location as well as using triage system prioritizing importance of calls. Order and track inventory parts and equipment purchased. Manage service calls to subcontractors for repetitive services.

Job Duties: Take all incoming service calls for HVAC issues, book service call, schedule and dispatch to appropriate technicians... Build schedules for technicians. Keep payroll sheet updated with service tech’s time. Scan all job folders, service tickets, etc. Call customers to sell service returns if needed. Contact all maintenance customers to schedule and/or renew contracts. Call customers to offer needed maintenance for their equipment. Enter all equipment information, quotes and history into service master. Assist install department when needed.

Receive and record calls from restaurant personnel for facility service’s maintenance request; prioritizes and evaluates each service requests in-house or to an approved outside vendor; dispatches and monitors the activity of facility service technicians; responds to and schedules special project requests in a timely manner; provide special project vendor bids to facility service staff as needed. Maintains computer database of work orders and outside service vendor using FSIS; closes work orders recording detailed information regarding the service call; verifies the completion and satisfaction for work with restaurants. Inform supervisor of emergency calls and recurring equipment or building problems. Process invoices for payment ensuring proper accounting codes assignment; sign invoices up to $ 500, verifying accuracy of information supplied. Inform disbursements accounting of any outside accounts problems. Evaluate Capital Consideration on closed work orders using property accounting department guidelines. Opens and maintains revolving credit accounts for facility service vendors. Maintains and generates schedules for facility services and distributes appropriately; provides data in various documentation forms (e.g. presentations, memos, e-mail, etc.) for facility service staff as needed. Handles warranty issues; maintains required documentation to ensure approved vendor status for regional Human Resources; informs region of current outside vendors; implements and maintains pager service for facility service staff coordination with vendor should problem arise; coordinates staff on boarding activities with Human Resources; trains new staff members proper work order completion and dispatch procedures; trains staff for dispatcher back up; maintains up to date staff and pager lists, maps, graphs, reports and charts. Maintains office supplies and ensures office equipment is maintained.
