RESPONSIBILITIES: • Extensive support through diary management for several individuals (Outlook/ previously Lotus Notes) • Coordinating and organizing internal and external client meetings, booking meeting rooms, video conferencing, refreshments, etc • Booking international business travel and accommodation, cars to/ from airport, visas, meeting rooms, conference calls, restaurants etc • Coordinating, tracking and reconciling expenses (Concur), preparing and processing travel and expense reports • Recording Gifts & Entertainment in the internal database • Preparation of marketing materials for client meetings • Document formatting, including MS Word, Excel & PowerPoint • Internal and external meeting preparation and minute taking • Data Security Coordination duties including annual review of users’ access • Providing back-up for other Administrative Assistants and Data Security Coordinators as necessary • Answering telephone calls, taking messages, responding to questions and directing callers to appropriate parties as necessary• Filing, photocopying, printing and binding along with Performing various other related duties as requested/required
