Contracts and Licensing Administrator Responsibilities:• Coordinate the electronic signing of contracts (excluding employment), as requested by the Contracts and Licensing Manager.• Ensure all contracts are accurately filed and indexed. • Check contract history, identify any omissions and ensure that any missing documents are signed electronically, fully executed and filed. • Establish a database for all contracts and ensure it is kept up to date and accurate. Update relevant Managers on contracts requiring renewal.• Work with Contracts and Licensing Manager, and Departmental Managers to ensure that valid contracts are in place across the business.• Work with Contracts and Licensing Manager to establish a clear process for contract approval, execution and management.• Support Contracts and Licensing Manager as required.

Job DescriptionProvide a variety of office administration and support duties, supporting the Key Role and Accountabilities• To provide administrative support to Head of HR & Facilities, COO and CEO and other RailSimulator.com staff.• To undertake office reception duties both in person and on the telephone inc. taking messages for other staff.• Schedule weekly Exec meeting and Monthly Board meetings, collating reports sending agendas and taking minutes, ensuring minutes are accurate and distributed same day.• Take notes at weekly company meeting and collate and distribute “Company meeting Newsletter”. Distribute on same day as meeting• General office administration within a serviced office environment, ensure supplies of drink making facilities and stationary are stocked and available.• Open and distribute all incoming mail (Other than that marked for an individual)• Manage outgoing mail and parcels.• General Executive support including expenses, meetings and travel• Manage and maintain CEO schedule.• Assist in the organisation and participate in meetings, conferences, and project team activities• Accounts support including checking expenses, scanning and filing of invoices
