In this role I provide a high level and confidential 121 support. I have sole control of the diary and I coordinate and schedule high level conference calls, internal and external meetings. I interact with high network clients in person, via email and telephone, often having to rearrange diaries at short notice and prioritising my partner’s time. I manage and book all national and international travel and prepare complex itineraries, including arranging visa’s. I have mentored and trained over 20 PA’s within the company. I am also a first aider, safety officer and fire marshall officer. I also provide cover for the current Head of Consulting for the UK Firm on a regular basis, and have done for over 3 years, including doing his current PA’s maternity cover.

I had sole control of all diaries. Part of this role was to manage the recruitment as I joined from the beginning of the department. I took ownership of this process and was in constant contact with external agencies and candidates. In addition to this I provided general administrative support including arranging client meetings, booking travel, processing expense claims and other ad hoc support.

Being the first point of contact for visitors I took full ownership of Reception. I ensured that visitors received the highest quality of service and attention. I answered, screened and transferred calls in a professional manner. I took accurate messages and responded to telephone queries. I was responsible for petty cash for whole company. I completed the Directorate credit card & cash statements/expenses. Created purchase orders for the Finance Department. I booked training courses, seminars, travel and accommodation for members of staff. As well as being the Receptionist I had other responsibilities such as being the Co-ordinator for the Health & Safety Board, Company Pension Board and the Data Protection Action Group separately. I assisted Directorate type and put together Board Papers for Council. I took the minutes of numerous significant meetings each month. I organised external and internal meetings within the company. I managed the Business Continuity Plan – I made sure it was up to date and that all Directorate and Senior Managers had copies. I was on the Ambassador of Fun committee which organised a successful Christmas and Summer parties.
