Finance Officer & School Office AdministratorRoyal Oak Intermediate Jun 2017 - PresentACCOUNTS/BUDGETS• Regularly enter invoices, payments and receipts into accounting software. (Accounting Package used: XERO)• Collate supplier invoices, batch and process into Xero.• Maintain records, receipts and payments for audit purposes.• Assist Principal in preparing budget for next financial year.• Enter bank analysis, manual payments, direct debits and credits on the service centre cashbook system.• Ensure service centre receive all financial documents required as per procedures manual.• Payroll: peruse the Staffing Usage and Expenditure Report to ensure that all bulk grant paid staff salaries or wages are journaled.• Distribute monthly reports to Management on budget accounts and budget holders.• Process any Debtor invoices and monitor payment of same.ANNUAL REPORTING• Co-ordinate and prepare information for Service Centre• Prepare then organise distribution and acceptance of the Annual Report at the AGM in May.• Ensure Annual Report copies are sent to the MOE on time.RECEIPTING/BANKING• Monitor system to ensure all monies received in the school are receipted.• Ensure that the receipts are balanced to the money received and the analysis entered into cashbook.• Regularly attend to banking.• Balance all the receipts against the fee system and the banking.• Reconcile banking to bank statements.INVOICING STUDENTS• Invoice students for payments owed BOARD OF TRUSTEES• Finance: ensure that the sub-committee receive all required documentation ahead of meeting. TEACHER RESOURCES AND RESOURCE ROOM• Ensure that the Teacher Resource Room is well maintained.• Take stocktake and report on stock levels to Curriculum Leaders.• Accession Teacher resources into software programme.• Support teachers with requests for resources.• Monitor software program to ascertain which have resources and remind them to return stock.ACCOUNTS CHECKING• Ensure that invoices have order sheets attached.• Ensure invoices match entries on the accounting system printout.• Ensure bank account numbers on invoices match those from account accounting. system printout
