Current• Reporting Directory to Emirati Owner, Managing Director, Administration & Finance Director and HR Manager• Assist in the preparation of tenders and standardized tender templates and paperwork.• Prepares tender methodology, Consultant Design Fee Breakdown, Form of Tender, fill details & salaries of staff who will be deployed in RFP.• Finalizing & keeping a tracker of approved Sub-Consultants for services (Interior Designing, Façade Lighting, Landscape, MEP, TELECOM ICT AV, Vertical Transportation, Traffic Access Study, FLS, Security & Acoustics).• Ensuring collection of signed NDA received from the Sub-Consultants within the allotted time period and sharing RFP & Deliverables to obtain their best Fee Proposals. • Monitoring deadlines through Portals & Coordinating with EMAAR, DAMAC, AL Arada, LAMAR Development, AL Hamra, Qanawat, Dubai South & MBR Housing Presentation.• Further preparing LOA / LOI & SCA and sending to Administration & Financial Director for his review, prior to submitting to selected Subcontractors. • Communicate with vendors as needed during the tender process, such as non-disclosure agreements, confirmation of interest, etc.• Maintains tender files and arranges for archiving following the completion of the tender.• Prepares status reports and projected timelines for tenders regularly, as needed.• Coordinates and communicates with Financial Services. In light of the company’s evolving and changing demands and prospects during this early stage.• Helping HR Manager to upload Posts on Indeed as required by the Company, handling Career E-mail, downloading CV’s, sorting out & saving in the Server. Moreover, contacting Candidates via phone calls & E-mails. • Handling 4 Outlook E-mails on daily basis, personal E-mail, Info, Tender & Careers and making sure E-mails related to concerned Department are forwarded and followed-up if required.
