Assist in the preparation of regularly scheduled Department Reports, submit and reconcile Expense Reports and provide Budget Reports the Division Supervisors using the latest version of QuickBooks (and/or other accounting functions as needed).Maintain log records of Work Completed, Customer Service Requests, Equipment Maintenance, Fleet Inspections, and more.Register Supervisors, specialists, and technicians for Industry Conferences, Continuing Education opportunities, as well as maintain Records of Training credits required and credits satisfied.Answer and direct phone calls, provide training/support on Shoretel Phone System, Maintain contact lists, Produce and distribute correspondence memos, letters, faxes and forms, and Provide general support to Visitors.Occassionally:Provide support for Administration/Business Support in other District Departments (ie Substitute during leaves of absence).Organize and schedule Meetings and Appointments, Attend Board Meetings and provide Minutes to Board members and Executive Director. Reconcile expenditures at each cycle for Executive Director, Deputy Executive Director, as well as Department Directors.Assist in GIS functions and help Maintain Drone Flight Logs.
