- Track and receive the order from the Buyer on the system.- Analyze, arrange, and transfer raw data to Purchase order recap.- Update and cooperate with the Merchandiser to order trim and fabric.- Coordinate with relevant departments (Merchandising, Logistics, Factory, Accounting, and Finance team) to ensure the availability of the goods at the right time, in the right place, and at the best cost.- Check and follow up weekly shipment report to ensure that it's aligned with the shipment plan.- Develop and maintain strong relationships with strategic suppliers, and ensure sustainable strategic cooperation along with the company's development directions.- Handle payment of all purchasing activities and inspection/audit services such as preparing, submitting, and reviewing vendor payment packages in a timely manner to the finance department under the weekly budget.- Make weekly/monthly financial reports.- Manage database in SAP, QME, GTN, and SMEE.- Act as an advisor to oversee and guide team members to ensure all activities are effective and smooth.- Support the IT team in training the new systems if needed.

Vietnam

- Oversee and direct the activities of the purchasing department from 3 factories before submitting to BOD.- Travel to each factory for warehouse and line production audits.- Update expenses report weekly, monthly on shared spreadsheets,- Work closely with the Finance team and Accounting service for every expense arising monthly.- Set up a new office.- Coordinate meetings, and conferences and organize internal events such as employee birthdays, Women’s Day, etc.- Liaise with external vendors for general office facilities & maintenance, office equipment, and requisition of name cards, pantry & stationery supplies.- Be a contact point with Building Management for office issues/maintenance.- Maintain general filing systems, data, information, and contact records.- Storage carefully invoices, and supporting documents for audit purposes.- Other requests assigned by the Line Manager.

Ho Chi Minh

- Research and evaluate prospective suppliers and contractors- Manage daily end-to-end Purchasing Operations including PO Creation, PO Confirmation, PO Approval, Delivery Scheduling & Follow Up, Collect/Verify Invoices.- Follow up payment procedures.- Manage the purchasing documents & data.- Collaborate with related internal & external stakeholders such as Category Management, Sourcing, Operation, Accounting, Finance, Suppliers…- Assist to compile weekly/Monthly work progress reports and other reports to update the Project Director.
