The primary objective of the engagement was to reengineer how the organization utilizes its Network File Folder system to store, share, and retrieve financial data. Through a process that allowed me to interview senior leadership, managers and department staff to obtain an understanding of how the current system must be enhanced to further support the department’s needs, I was able to propose and implement a solution that addressed the departments primary business requirement which was to make the folder system more intuitive and easier to locate files. I presented the findings of my analysis and a proposed solution to senior leadership of the organization for approval. The solution that was implemented organized data that was fragmented across multiple companies into a revised hierarchy that emphasized organizing data by business function, company and year. Organizing the financial data in this manner enabled users to more efficiently access specific data without the need to navigate through multiple layers of folders. Other engagement deliverables included archiving old data, introducing best practices for naming files and folders, identifying opportunities to more effectively utilize existing systems to manage data, and to establish a governance process that will ensure the ongoing integrity and consistency of how the folder system will be maintained in the future. I presented the final solution to the entire finance department and conducted a training session.
