This entailsmaking sure correct labor and additional charges have been quoted to us and that we are turningover to the client an appropriate amount. Determine that the proposal is set up correctly to the people who are paying for it and to the “install to” where it will actually be installed. The thorough vetting of a contract prior to the beginning of the project ensures no liability issues later on in the project. This is both helpful to us and our client as to make sure that everything is explained and agreed upon and expectations are met by both sides as to have a good working relationship for this project and all future products.Once the project has been agreed upon, I then schedule the project, material, and trucks. I makesure that the material is in the production queue in the proper order in order to use stock and set upany production for customs. Material scheduling is done for an average of a million dollar backlogfor my territory alone. Trucks are scheduled depending on the size of the shipment as well as theneed for lift gates, pallet jacks, hazardous, and dates for delivery.Once the project has been completed, I pay the crew and remove material and money allocated toother charges that was not used. I would enter the charges that were incurred for generators,dumpsters, etc. I send the warranty and O&M documents to the client. The final piece is accountspayable. I would bill the client; depending on the client, I would send a standard invoice, an AIAbilling form or their custom billing forms. This would initiate payment and I would make notes inour system in order to know what was sent to be prepared for follow-up calls on getting payment.After about 21 days and then continuing every 14 days I would follow up with the customers onwhat if anything they needed from me in order to get paid.
