YOTS relies on funding for its operations therefore, the capture and storage of student information is an important aspect of this role. YOTS also applies for NCCD funding for students requiring significant adjustment for their schooling, there is specific documentation required to support the applications. I liaise with youth workers, teachers, DET, head office and other schools. I procure supplies for the school and arrange payment for the numerous contractors that we work with. The key accountabilities of this role were to provide the programme manager, project managers and business analysts with administrative support , assist with reporting to the Programme Management Office (PMO) and offer general team support.I provided administrative support by co-ordinating a variety of meetings\workshops\steering committees, internally and externally to ipac, assembling appointment material and staff, as well as organising travel and accommodation as required. I assisted with project activities related to business case preparation, client/customer surveys, closure analysis and reporting, and project documentation. I Managed the set up of new starters to projects including internal transfers, relocation of PMs, BAs and contractors. I was responsible for the monitoring and management of portfolio cost centres, processing journals and accruals as well as tracking project expenses. The role required an understanding of the PMO and workstream process so I could pro-actively manage the workstream to required deliverables and timeframes. This involved assisting Project Managers with their monthly reporting requirements such as KPI reports, dashboards, expense reports and spend reports. This ensured the portfolio manager received them in sufficient time to submit to the work stream controller for the overall portfolio report.
