Document Controller
Current Download, register, distribute, and archive all incoming correspondences and documents for the team’s review. Assist in the creation of official documents and reports, supporting the Manager and the team in administrative tasks. Act as the assistant to the Resident Engineer. Practical working and training experience in TIP EDMS. Working closely with Team Executives as well as other support functions to provide proactiveand effective general administrative assistance across a diverse range of tasks. Scheduling and coordinating meetings and appointments for Director / Project Managers. Establishing and maintaining document control processes and storage of soft and hard copy media. Providing support, advice, and supervision of general users and project teams Filing and working with sensitive, financial, and commercial data. Ensure that Documentation Control processes are followed in compliance with the Quality Management requirements. Distribute project submittals and correspondences to the engineer or architect for discipline review and approval. Prepare outgoing correspondences for all project submittals and correspondences Prepare and format Minutes of Meeting and send the same to the Project Team, and to the Client. Ensure that a high level of data quality, integrity, and security of information is maintained throughout the life cycle of a document. Manage document distribution lists and distribute documents accordingly. Perform the document archive process on the applicable document as the procedure requires. Ensure proper notification of change releases and archival of documentation. Tracks routes and follows up with engineers to meet document turnaround guidelines. Check incoming project documents and correspondences such as material submittals, shop drawings, as-built drawings, method statements, RFIs, prequalification, Handing Over Documents, etc. for accuracy and ensure its compliance with standards prior to receiving
