My duties for up to 50 private jets flying in any country around the globe are to:• Liaising with external providers (handling agents, FBOs, fuel suppliers, Civil Aviation Authorities, Customs, etc) concerning any ground services arrangements or operational requirements.• Generate air traffic and operational flight plans and load-sheets using Jetplanner, PPS8 and ARINC flight planning software.• Requesting overflight and landing permits for all flights as required• Preparation of flight packages including operational flight plan, weather briefing and charts, NOTAMS, mass and balance calculations, performance data and any other documentation relevant to each flight• Preparation of crew briefings and keeping crews updated 24/7.• Informing all relevant departments and customer about departure and arrival movements within 15 minutes as well as any delays due to ATFCM or any other reason. Inform all relevant departments about any irregularity.• Assist sales and Customer Service with feasibility checks of any given flight (e.g. operating hours of airport, performance limits, fire cover, and/or any restrictions).• Provide most accurate and actual information on status of flights during the planning stage (e.g. airport slots, permissions) and keep the system updated.• Processing pre-clearance documents such as E-APIS, Canpass, Caricom, and TSA Waiver when appropriate.• Arrange and order catering for pax & organizing 3rd party service as Limousine services for instance connected to any flights.• Coordination with crew to organize crew transportation & HOTAC.• Check airport categorization and crew visa.• Ensure that all of the above is fulfilled efficiently, always within the safety boundaries and with the customer’s satisfaction in mind at all times.
