- Responsible for all investor communication through our secure online Intralinks portal- Provide support to investors to facilitate receiving investor documentation - Maintain current contact lists and important investor information for all communications through Intralinks and company records- Provide support to the tax department i.e. reviewing information for tax documents, completing and submitting tax filing forms, and registering new entities, etc. - Collect tax information for investors and vendors - Accounts payable – allocate, process, and keep record of all vendor invoices for payment - Manage allocation of all employee company credit card transactions - Reconcile credit card expenses monthly- Maintain a monthly record of use tax charged for all credit card transactions as well as tax charges on invoices paid to ultimately keep record of use tax owed yearly

Sort and distribute incoming and outgoing mail to all entities and employees. Compile external hotel loan reporting documents for each entity and distribute to banks. Maintain bank legal files and preparation of tax files for over 125 entities. Verify and organize monthly credit card statements from Visa, MasterCard, and American Express. Assist corporate controller with banking filing, bank relations, and various office tasks. Set up new bank accounts, perform bank deposits, and clear positive pay exemptions. Compile reserve impound reports and submit for repayment. Create corporate financials packet and distribute to executives. Regulate accounting department calendar. Add to and maintain vendor listings.

Work closely with and assist the Invest West and Pacifica Hotel Company executive team with a variety of tasks. Compile loan reporting documents for our hotel investor entity and distribute to banks. Assist in putting together quarterly distribution packets and syndication/investor mailings. Maintain corporate office accounts and keep office supplies in stock. Coordinate meals and catering for corporate meetings and distribution meetings. Update and maintain current corporate contacts. Provide travel arrangements for corporate employees as needed. Sort and distribute daily and weekly incoming and outgoing mail. Produce expense reports for employees and voucher property expenses for all entities. Run various errands as needed. Assist hotel design team with purchasing and maintaining design library. Complete various tasks/projects as needed for design team and aquisitions team.
