My position is unique in that it is a blend of facilities, human resource project management, operations, and administration and requires the ability to adapt to changing priorities and demands with little or no notice.Facilities • Manage facility maintenance; serve as liaison with local property management and working with building personnel and appropriate internal contacts• Assist in budget preparation and forecasting; • Maintain office security protocol and ensure office meets proper business continuity obligations of the firm• Member of firm-wide administrative operations team (projects and initiatives) which enhance service delivery to internal and external clients• Monitor facility safety and make improvements, as necessary. Ensures proper security measures for the workplace, including collaborating with security system vendors.• Manages lease improvements, as necessary. Maintain day-to-day operations of facilities and overseeing maintenance orders are completed.• Manage the allocation of offices and space requirements. Create space forecasts each month and identifies areas where critical considerations must be escalated to the ED or MP. Manage space scenarios for forecasted new lawyers and partners • Manages asset inventory• Negotiates vendor pricing, selects vendors (through RFP or internal analysis), and owns lifecycle of contracts • Negotiate and make appropriate considerations for Insurance policies • Participates in the annual benefits audit by project managing the Form 5500 completionRecords• Manage the process and guidelines for tracking records that are in off-site storage, on-site, destroyed or to-be destroyed. • Manage the contents and the process for having items placed or removed from the safe and the security of those items. • Work with the records management committee to design and implement better controls over records room and file management.
