Prepare packet for review; fill out checklist with packet’s Batch Number and amount of copies of each document included. Review paperwork for errors; blanks, spelling errors, math errors, proper date and time formats and make sure the correct boxes are initialed and dated. Give to appropriate technicians or pass on to the area’s supervisor for corrections. Sign and date checklist after packet’s completion. Sign in to Quality Assurance.*Review monthly ‘Disinfection Room Records’; check for blanks and spelling errors. Verify that cleaning was done on schedule (i.e.; some rooms are to be cleaned and disinfected once a week or several times a month). If cleaning was not done on schedule, see that a comment is written providing an explanation. Make sure the appropriate boxes are initialed and dated. and that dates and times are in their proper formats. Give to technicians or area’s supervisor for corrections.*Review ‘Disinfectant Preparation Records’; verify that the dates of expiry are correct for the disinfectants used (i.e.; some disinfectants expire in twenty-four hours, some in seven days). Check that disinfectants were not used past their expiration date. Verify that all information entered is correct for the disinfectant used. Make sure volumes entered are correct and Total Volume adds up. Make sure dates are in proper format. Give to technicians or area’s supervisor for corrections. -

Make sure dates and times are in their proper formats. Give to technicians or area’s supervisor for corrections.*Review ‘Autoclave Run Records’; make sure forms are dated and that the correct Autoclave number was entered. Verify that the correct temperature was entered and in range, along with the time in sterilization. Check for blanks and spelling errors. Make sure dates and times are in their proper formats and that initials are entered where required. Give to technicians or area’s supervisor for corrections.*Review ‘Preparation Record for Working Media’; verify that Batch Size is the correct amount and the correct unit of measurement is used (milliliters or liters). Make sure Batch Number and Process Order Number are correct and entered on each page. Check temperatures and make sure they are in range. Check math, making sure quantities used and quantities scrapped add up correctly. Give to technicians or area’s supervisor for corrections.*Scan, copy and print office paperwork as needed.*Enter data into the ‘Document Error’ spreadsheet (a spreadsheet created for the Operations manager to show how many errors were found in each Batch record).*Receive Critical Antigen list from Supply Chain once a week by e-mail. Batch records on this list were immediately prioritized. Replied with status updates (i.e.; if the paperwork inquired about has been received, if it has been turned in already and when or if the Batch was canceled). Presented this information at the weekly Schedule Meeting. -

Give details on how each area of Production is doing with paperwork (i.e.; which area is not handing in paperwork within the required timeframe, which area has the most amount of errors and which areas are doing well). Also presented screenshot examples of frequently found errors using PowerPoint. Provided solutions to supervisors on how their areas could improve their paperwork process.*Records and Information Management (RIM) Steward; responsible for effectively managing records and other paperwork in the Production area. Developed a system for paperwork turn-in that consisted of bins marked by days of the week (technicians handing in Batch records were to put them into the bin marked with the day they are delivering it to the Document Control Specialist). Batch records received are then organized by priority (i.e.; critical records, records due that week, records due in ten days or more and records reviewed and ready to be signed in to Quality Assurance).*Assist TS/MS with data entry for ‘Change in Formalin Concentration’ and ‘Egg Viability’ (a spreadsheet used to track egg losses and how many eggs were distributed to each area of Production).*Proofread documents for TS/MS personnel as needed.Assist in training new employees on how to enter Controlled Areas; proper gowning procedures, disinfecting hands, bagging up belongings, etc. -
