Administrative / Accounting• Accounts Payable – Process incoming invoices for validation and approval; prepare and maildisbursements; manage vendor files• Accounts Receivable – Prepare, post, file and deliver bank deposits• Billing – Assist staff with entry and review of time and expense billing detail, process monthly client billing (includes preparation of invoice drafts, processing revisions as directed, copying, mailing, posting, filing)• Reconcile reimbursable expenses2) Administrative / Other Support• Interface with various outside parties/vendors/suppliers including:(1) Internet service provider / cell phone service provider / local telephone service provider / long distance carrier(2) Insurance carriers/agents/brokers (professional liability, commercial and workers’ compensation)(3) IT/network/software consultant(s) and tech support departments(4) Landlord and building management/maintenance(6) Telephone system hardware vendor(7) Maintain/purchase inventory of office supplies, computer supplies, printer supplies, and kitchen supplies (8) Manage client project deadlines list(9) Oversee (daily) incoming/outgoing U.S. Mail and dispatch couriers (including FedEx, UPS, local couriers, etc.), including reviewing and forwarding various items; manage/maintain inventory of mailing/courier/shipping suppliesClient Service Associate• Enter data into tax processing software • Generate and distribute annual engagement letters• Initialize preparation of annual client tax return files• Manage client brokerage and bank account records and statements• Prepare spreadsheets and perform analysis • Prepare and distribute client cash disbursements• Prepare and file various payroll tax reports• Process completed tax returns and various other reports for client delivery; validate filing instructions• Process and ensure the timely filing of federal and state extension requests, and federal and state estimated tax payments
