Office Administrator
CurrentProvide administrative support to the President and the rest of the office staff.• Manage the President’s calendar and set up meetings with lenders, investors and City of Toronto and Town of Richmond Hill Councilors. Prepare agendas, minutes, and supporting materials.• Prepare correspondence and follow up on pending matters.• Ensure that contact lists are up-to-date.• Maintain membership renewals and magazine subscription renewals.• Assist everyone in the other departmentso Assist with the marketing projects.o Ensure website is up-to-date and reply to inquiries received from our website.o Assist with the sourcing out of marketing and advertising companies and order materials. o Track donations and arrange for payments.o Assist the Project Manager with demolition issues and other tasks.• Accounts payable/receivableo Ensure that all invoices received are accurate and prepare for processing.o Negotiate contracts with vendors to ensure the best rates that result in company savings.o Ensure cheques are mailed out on a timely basis.• Property Management – Rental Unitso Ensure that rental properties are ready for rent.o Prepare rental leases. o Resolve tenant issues.o File with the Landlord Tenant Board when necessary.• General office dutieso HR – monitor attendance and approve time sheets.o Negotiate employee health benefits with insurance company and get better rates.o Negotiate other insurance policies for office and projects and get better rates.o Reception - Primary contact to all phone calls and visitors.o Collect mail and distribute accordingly.o Office is kept tidy along with the boardroom.o Purchase office supplies and cleaning supplies for cleaning staff.o Telephone system, Wi-Fi monitoring and maintenance.o Liaise with the Property Manager regarding functions and issues in the building and our Suite.
