Guest Experience Manager

Here, I am a receptionist for a large corporate building which has 30 floors with all different companies on each. My company is in charge of managing the building, so we have our reception team of 3 to cover 2 reception areas, a security team and an engineering team as well as the building manager and operations manager. Our 2 main reception areas consist of the main reception of the building which is in the mall area, and our car deck on level 2. We are in charge of allocating spaces and charging for these on a daily basis, as well as inputting all registration numbers onto our system. Both receptions are extremely busy with signing in every visitor, contractor and delivery that comes in and issuing them all passes.We also take care of the post for the building and raise all maintenance jobs for our engineers. There is also quite a lot of admin work/updating contact information involved as we send out a lot of information to our occupiers about deals/traders we have on site. We also have retail shops on the exterior of our building, meaning we need to keep in touch with them in case of any incidents, and also maintain our loading bays for them to use for their deliveries.

School Administrator

Here, my main role was to take charge of the children’s attendance. Any late arrivals would be noted on the register with the time and reason, which this data was then used each week to put in my reports for the headteacher. Any child who did not attend school and whose parents had not phoned to tell us a reason why, it would be my job to ring them and to fill in a safeguarding report to send to the relevant people to show I am chasing the issue and would escalate when needed. My office was located at the main entrance of the school, so I was the first point of contact for all children, parents, staff, etc. I was also first point of contact via the telephone and admin email for any queries anyone had. I overlooked the lunch app payments, school trips, school clubs, etc. to ensure all payments were up to date and documented. I would also send out any communications needed on the school social media app between the school and parents as well as updating the newsletter weekly on the school’s website.

Benefits Administrator

Here, my main role was to assist the Benefits Team with their administrative tasks. This involved checking emails and letters daily, ensuring all the information was correct and there were no breaches of GDPR, then printing and sending them to the correct clients and IFA’s. I also sorted through the spreadsheets picking out which reviews were out of date/had been terminated. This also involved sending valuation requests/chasers to the clients and IFA’s in order to do certain tests on the client’s profile. I also updated spreadsheets with new information daily as they had a report that sends details of clients who are due to turn 75 soon, meaning we had to prep all of the above in order to run the tests. I also helped other teams as and when required if they were short staffed or falling behind with their workloads.

Scheduling Administrator/Exam Invigilator

Here, my main role is being the scheduling administrator. This means that I deal with all the new starting apprentices by enrolling them onto the correct course their employer has specified for them to be on. I then issue them with a schedule which outlines their course sessions and material so they can see if they will not be able to attend any sessions for any reason. I would then deal with the rescheduling of their sessions if they were unable to attend or if we need to reschedule anything due to trainer availability. I also create sessions for trainers on both of our teaching systems (PICS and ELMS) and input any annual leave so we know not to schedule training for that trainer on those specific days. Whilst being here I have also taken on the role of being an exam invigilator. This is virtual at the moment, so the learner will log onto a meeting with me via Teams or Zoom and I will direct them to their exam platforms and ensure they can log into everything. I then need to provide them with exam unlock codes and outline the rules of their exam before starting. Depending which exam they have taken, they will receive their result straight away, meaning I can explain the next steps depending on their result and whether they need to resit or not. I book all Functional Skills Maths and English exams and also invigilate these. However, these results do not come through straight away as they need to be assessed by a third party company (Walled Green/Surpass). Once these come through I then transfer them onto the exam spreadsheet and update each learners profile with them, then send the learner an email outlining whether they have passed or failed.

Weighbridge Administrator

Here, my main role is being the weighbridge administrator. This involves weighing all vehicles that come into the site, inputting the correct details of materials they are carrying, what they are doing I.e tipping/collecting, and printing them weighbridge tickets/issuing them paperwork. Once they have completed their trip I then issue them with another ticket which shows the calculated weight they have tipped off or collected. This information then all needs transferring onto an excel spreadsheet which shows every job with much more detail including haulage costs so the accounts department know who to charge. All weighbridge tickets and paperwork then get married up and filed away.I also take skip exchange bookings as we have our skips on many sites across the UK. These jobs then need building onto our system and paperwork created for our drivers to take. My desk is situated in the front reception office, so any visitors entering the building will speak to me first so I can direct them where to go and issue the correct PPE. The phone lines run off a switchboard system, so people who don’t know the extension number for who they want to speak to will come through to me and I will take their enquiry and pass it on.

Receptionist

Here I worked as a receptionist. This role meant I dealt with visitors/contractors on a daily basis ensuring they were all signed in, were permitted to be on site, and allocated them to the individual they were there to see. Since Covid19 hit at the early stages of my enrollment a few things changed. I had to make sure everyone internal and external sanitized their hands before entering site. They had to take their temperature upon entering the reception, if they had a temperature they must return home and isolate. I ensured the supply of masks, gloves and hand sanitizers were always topped up and ready to be handed out to anyone who needed them. Since a lot of staff were furloughed and the reception wasn’t as busy as usual, I put my pro-activeness to use and helped out in other areas within the company. I helped in the quality control department doing various tests on the products to ensure they passed and were good to be released for orders. I also spent 95% of my day helping in the finance department, specifically purchase ledger. I scanned invoices to people to get approvals, got them coded and then processed them on SAP so they got posted. I also did the filing for all the teams in finance, and also HR.
