Current• Oversee and perform a range of diverse administrative activities for the Division; serve as a central point of liaison with other departments and external constituencies in the resolution of a variety of day-to-day matters concerning the unit.• Provide professional secretarial services to the Division Head by preparing draft replies, self-correspondence and appropriate responses to internal / external customers• Coordinate with Divisional Heads at H.O. and Branches to ensuring timely communication and smooth work flow• Organize Branch/Department meetings, Customer Seminars, other internal presentations etc.• Keep updated about the policies, procedures and the products to ensure consistent adherence.• Provide effective time management services by prioritizing the meetings, guests and telephone calls to ensure the optimum usage of time• Coordinate with HR / Training Center in connection with the nominations for training, performance management and other staff related services• collaborate closely with the procurement team to optimize vendor management processes and follow up on the renewal of agreements.• Consolidation of risk assessment reports to identify, assess, and mitigate potential risks within the COO relating departments.• Assemble and complete a variety of routine reports for approval by the HOD, posts data to records and logs, and maintains established files.• Perform and oversee a variety of associated administrative, fiscal, staff support, and planning activities. Coordinate and facilitate meetings, program functions, and special events, as appropriate.• Collaborate with the administration team to plan and coordinate various events. Manage hotel bookings, ensuring accommodations align with event requirements and budget constraints.• Arrange air tickets and transportation for event attendees, considering logistics and cost-effectiveness.
