Oversees and manages the administrative team in the HCM/Lam Dong office, supports all administrative tasks in the office, and ensures the office operates smoothly.Responsible for internal communication to rapidly update all critical information for all project employees.Relate with HR Admin task- Set up and maintain the employee database system in the project to ensure that all data is updated accurately.- Guide new employees to complete personnel records and update them to the internal database.- Monitor monthly attendance record sheet for payroll process.- Manage leave requests and absences in the project.- Record and complete the steps to pay benefits to employees according to the regulations of the Company and the Trade Union (birthday, married, welcome baby, and so on )- In charge of booking transportation and accommodation.- Analyze and forecast the number of operators to be hired over the next few months.- Work closely with the Talent Acquisition team to develop strategies to meet the recruitment plan of the project.- Arrange and schedule integration training for newcomers with the OTD Dept according to the recruitment plan.Other tasks- Work closely with the IT dept about office equipment and connections, including troubleshooting.- Manage and perform a monthly inventory of project equipment and assets. Prepare reports on inventory results for OMs and related depts.- Prepare the request for proposals clearly and compare vendor selection results to optimize costs when recommending maintenance, replacement, or new purchase as needed.- Perform tasks of sending contracts, invoices, and related documents into the Kissflow system and Accounting dept when there is a request for purchase, business trip, advance/payment, and other processes in the project.- Planning and logistics in organizing project activities or assisting HR in company events: town hall, team building, birthday, special days (women's day,…)
