Prepare documentation and application forms for new Client Account Packs· Check and collate completed account documentation for submission to Client Processing team, including AML requirements· Submit and monitor the progress of new applications, rollovers and any requested changes/implementations, escalating any issues to Senior ASO or Adviser as required· Process cash transactions (invoice payments, cash transfers and cheque withdrawals) on instruction from Advisers, with reference to Elston’s Cash Withdrawal policy· Arrange for banking of cheques received on behalf of clients;· Complete and submit share documentation for processing as requested by Clients/Advisers (eg Off Market Transfers, Chess Sponsorship transfers);· Enter and maintain accurate and up to date client details on internal Client Management system (Xplan), and co-ordinate with the investment reporting team and external service providers (eg UBS, Macquarie and Hub24) to ensure data integrity across systems;· Maintain full and up to date File Notes in Client Management system (Xplan), ensuring all documentation is scanned and uploaded and that emails are saved appropriately;· Liaise with external institutions to collect and accurately record client information on Data Collect forms;· Use Xplan Threads and monitor assigned Xplan Tasks to manage workflow and ensure compliance with Elston policies and procedures;· Provide administrative support to Advisers to include drafting correspondence from pre-defined templates, scanning, faxing, binding and photocopying;· Petty Cash management· Venue and catering arrangements. Managing guest lists, invitations and monitoring RSVPs· Maintaining inventory (stationery and marketing merchandise) for branch· Incoming and outgoing mail collection & processing· Answering telephone calls and redirecting enquiries to appropriate staff member.
