Duties that carried over included the submission of all purchase orders and p-card purchases for the External Affairs department and the tracking of these purchasing the in the master budget spreadsheet I had created. I also ran bi-weekly financial reports and balanced all twelve accounts our department oversaw. Communication with vendors was also a part of my duties and this centered around contract outlines and payment agreements to ensure we were in compliance with our purchasing department guidelines. I served as the point of contact for persons seeking to host events on campus, this includes on-campus events for NPC students and community patrons seeking space for meetings and private events. I created the outline for our online reservation form and worked with our tech support team to add it online in a ticket system which streamlined the process. Once a request was submitted, I saw the project through from the submission of the ticket to the day of the event. This included coordinating with our maintenance and tech support teams for setup needs. While in this role, served as project manager for two exhibits that our campus hosted in the spring of 2020. One was the Yesterday’s Negro League Baseball Exhibit that included items for a two-week display and a campus meet and greet event with Mr. Dennis Biddle, one of the last living league players. I coordinated the contract, shipping, receiving, setup, and tear down of the exhibit items, and the on-campus meet and greet event with Mr. Biddle. The second exhibit was the Small Works on Paper traveling exhibit from the Arkansas Arts Council. I handled the contract review and processing as well as the receiving and inventory of exhibit items when they arrived. -

I revised past processes to reshape the face of the association which included implementing a two-tier membership offering; a complimentary level for our new graduates and a paid membership level called “Nighthawk Legends.” I forged partnerships with local businesses to offer exclusive benefits to our Nighthawk Legends members and updated the process for choosing our outstanding alumni award recipient each year. To prepare for the opening of our Student Commons building and the conference spaces within it, I drafted the facility use agreement that is used in the reservation process and worked to outline a new reservation form for patrons to use when requesting the use of space on campus. With the opening of the Student Commons building and the influx of community and campus events, the decision was made for me to transition to a new position to focus on those changes which is why I am no longer in this role. -

This spreadsheet included an overview of all twelve accounts and a table that tracked all purchase orders/pcard transactions. I ran bi-weekly financial reports and from those, balanced the spreadsheet twice a month to ensure the most accurate balance for each account. I also tracked payment of purchase orders and followed-up on unpaid items to ensure payment was sent before the close of each fiscal year. I served as the point of contact for external and internal reservations on campus and I managed logistics for those events, including coordinating with multiple departments to secure space, setup, and security requests. I was a member of NPC’S Leadership Academy Class II and completed the academy in the summer of 2018. Our team project within the class focused on ways to remove departmental silos and increase communication among departments to foster collaboration and increase recruitment efforts. -
