• Coordinate general office responsibilities (e.g., ordering supplies, maintaining orderly supply area, filling fax and copy machines regularly with toner/paper, mail retrieval, prepare/send overnight packages). • Serve as a single point of contact for all tenants. Maintain an up-to-date tenant call list and certificate of Insurance information. • Operating the work order system. Ensuring all work orders are being completed by following up with engineers, security and day porters periodically throughout the day.• Completing monthly one time charge forms, reviewing and sending out monthly rent statements.• Interact with tenant representatives in coordination of addressing tenant issues and corrective measure.• Process all invoices and distribute for approval. Maintain invoice files. Responsible for follow-up on payments or related problems.• Maintain Lease files, Conduct leasing tours to potential and renewing tenants. • Ensure Certificate of Insurance is on file and current for vendors, correspond with vendors in regards to scheduling work as needed.• Coordinate with chief engineer and vendors to schedule monthly maintenance and contractual services.• Create and execute new vendor contract files along with bidding out contracts.• Execute lease abstracts.• Oversee monthly reports which include variance reporting, rent roll, monthly overviews etc.• Work to ensure monthly budgeting is inline with YTD actuals.• Work with new and current tenants for TI project including weekly construction meetings.• Understanding of HVAC systems. - RTU & Steam
