• Incumbent supports the work of the department in developing, coordinating and controlling the work of several extensive and complex projects• Assists in the coordination of statewide conferences including notices, coordination with instructors, registration, training equipment, room assignments, and billing• Reconciles purchase orders and expense claims• Coordinates, as assigned, small to medium sized meetings and conferences with conference hotel staff from first contact through post-conference follow-up including contracts, room and time scheduling, banquets, audiovisual equipment and billing• Prepares logistical information for various Association conference planning committees• Coordinates all aspects of grants process for Association conferences including but not limited to maintenance of the database of applicants; preparation of summary reports of grant applications for the Training and Development Committee of the CTA Board of Directors; notification to awardees; registration assistance and expense reconciliation• Tracks conference registration, receivables and payables• Prepares, as requested, materials for committees of the CTA Board of Directors• Provides administrative support to the programs assigned to the department

Plan, coordinate and effectively communicate meeting logistics to event staff as well as vendors for all events as assigned. Determine client needs through exploratory meetings to develop timelines, proposals, layouts and equipment requirements to meet the clients’ expectations. Liaise with third party caterers regarding all food and beverage needs from initial contact to the execution on event day. Working with the host to carefully crunch the numbers to maintain clients’ budget.

Paying currency orders to the armored carriers, balancing coin vault, assessing contaminated money, sending counterfeit bills to the Secret Service.

Customer service, counting cash, depositing checks, preparing change orders, filling confident customer information, data entry, opening accounts to clients in person/on the phone.
