Responsible for the day to day management of lease administration files for retail shopping centres (including commercial buildings) as follows:- drafting of letters of offer and disclosure statements including complex special conditions;- collating research on prospective tenants for new retail developments including cold calling to introduce development;- instructing solicitors and negotiating and settling amendments to lease documents to execution and completion within owner's limits of authority;- point of contact on matters of lease interpretation, strategy and process from general manager retail, centre managers, operations managers and leasing executives;- preparing and maintaining lease precedents and standard letters in line with retail tenancies legislation and develop, document and implement policies and procedures for the lease administration process;- collecting and maintaining currency of bank guarantees and tenant insurances;- responsibility for payment of tenants' fit out incentives including obtaining authorisation for final payment following satisfaction of all pre-requisites for payment; and- contribution to process of sale of 2 shopping centres including collation of leases and tenancy information and main point of contact to respond to purchaser's queries within cooling off period

Responsible for the day to day management of the lease administration team for 10 shopping centres including:- managing a team of 4, including performance appraisals, personal development, succession planning and recruiting new team members;- point of contact on matters of lease interpretation, strategy and process from regional managers, centre managers, leasing executives and development managers;- preparing and maintaining precedents and standard letters in line with retail legislation and develop document and implement procedures for the lease administration process;- maintaining system for generation of letters of offer, disclosure statements, solicitors' instructions etc;- instructing solicitors and negotiating and settling amendments to lease to execution and completion, within the owners' limits of authority;- managing relationships with external solicitors including settling standard fees and monitoring on-going performance;- negotiating and settling standard lease amendments directly with national chain retailers for use across the portfolio;- responsibility for review of tenancy documents as part of the due diligence process where acquiring new shopping centres, including set up on system, creating precedents etc.
