Follow-up correspondence/phone calls with other agents. Administer associate sign-up and orientation Collect Errors and Omission Insurance payment from Agents. Maintain hard copy and electronic filing system as directed. Coordinate and Maintain records for staff and independent contractors Keep pre-listing packages, listing presentation folders, and grab-n-go forms well stocked. Maintain confidentiality while handling office documents. Preparing real estate contracts; opening escrows, monitoring every step and aspect of the escrow; following through until closing. Maintaining contact with buyers and sellers. Verify that all required signatures and initials are on the contract and addenda. Reviews paperwork submitted by each vendor for our multi-family properties to ensure completeness and compliance with company guidelines,Verify and transfer Agents from BRE, Themls & Board of Realtors. Responsible and be able to take full responsibility of certain tasks and to keep the manager fully apprised of ongoing progress and status. Provides administrative support to other departments or individuals in the company as needed, including assisting with front desk/lobby reception and general clerical responsibilities. Train Agents and in house Transaction Coordinators how to use Transaction Point, Docusign and Zipform. Fill out commission disbursement forms. Send copies of the contract to the other agent, buyer, seller, & lender (as directed by agent). Create a Web-based transaction management file with secure access for agents and their clients to monitor the transaction. Send a weekly e-mail summarizing the status of the transaction and advising the agent of upcoming deadlines. Request an estimated HUD-1 statement for agent to review. If the agent represents a seller, request online for sign to be removed, and change status in MLS to "sold" at closing. Properly handle complaints and grievance procedures.
