Executive Assistant
CurrentExecutive Assistant to Senior Navy Leadership and Civilian Personnel ▪ Maintain and manage multiple calendars for Senior Leadership and coordination of executive, highlevel meetings, and events for PEO C4I, PMW/A 170 Program Office. ▪ Coordinate with external stakeholder offices, as well as industry partners to align schedules for briefings with program office leaders and/or corporate executives. ▪ High-level communication both written and verbally, representing Senior Navy Leadership and Civilian Leadership through direct liaison with various programs. ▪ Coordinate virtual and onsite meetings, proofread agendas and prepare materials. ▪ Effectively and timely follow up with various program divisions to ensure meeting expectations and deliverables are met. ▪ Prioritize own workload and establish administrative methods and procedures for functional area and related administrative support. ▪ Research and resolve a wide range of problems in accordance with department objectives, using discretion and sound judgment to facilitate workflow. ▪ Coordinate communications through Flankspeed Teams channels to keep information flowing within divisions and programs. ▪ Plan and organize meetings and events for Senior Leadership travel to various commands and industry stakeholders. ▪ Make extensive travel arrangements, both domestic and international travel, using Defense Travel System (DTS) portal for Program Manager and Deputy Program Manager travel, which includes hotel rooms, car rentals, airport terminal parking. ▪ Create travel authorizations and reconcile all travel receipts and expenses using DTS portal.▪ Analyze and organize incoming information and keep abreast of all priorities and initiatives. ▪ Train or assist department personnel and peers ▪ Provide recommendations for process improvement with regards to the administrative office procedures. ▪ Obtain and maintain Secret Level Clearance.
